The DEAR WMS Write-Off feature allows writing off inventory directly from a warehouse using the DEAR WMS mobile app.

To be able to follow this procedure, the following are required:

Before you can use this feature, you must set up an expense account for the DEAR WMS Integration settings in DEAR Inventory

  1. Log on to DEAR Inventory.
  2. On the menu, click Integration.
  3. On the Integrations page, click the DEAR WMS link.
  4. On the Warehouse Application Configuration page, select an expense account from the list, then click Save.


Once an expense account is set up in DEAR Inventory, you will be able to write off inventory from the DEAR WMS mobile app.


NOTE: The DEAR WMS mobile app can be downloaded from the Google Play Store.


Writing Off Inventory

With a write-off task, the stipulated number of items of a given product is written off directly from DEAR Inventory. Thus, a write-off task updates the total number of items in your inventory. 


Inventory can be written off by adding a write-off task in the DEAR WMS mobile app. For more information, see To Add a Write-Off Task.


Write-off tasks that are still in Draft status can still be edited. For more information, see To Edit a Write-Off Task.


Details of write-off tasks with Draft or Completed status can be viewed at any time. For more information, see To View a Write-Off Task's Details.


To Add a Write-Off Task

A write-off task may contain one or more items. 

  1. Log on to the DEAR WMS mobile app.
  2. On the Working area, select the location to which the write-off task will be added, then click Next.


  3. On the Main Menu, click Write-off.


  4. On the Write-off page, the write-off tasks for the selected location, if any, are displayed in a grid. Click New.


  5. On the New Write-off, select an effective date for the task, then click Continue to go to the Search page.


  6. At this point, the write-off task will be assigned a write-off, or assembly, number. On the Search page, enter the item number or scan the product's UPC code, then press Enter on your keyboard.


  7. Once the product is found, its details are displayed on the next page. Go to Step 8.
    If the product is not found, an error message is displayed. Repeat Step 6.
  8. Enter the bin number or scan the bin, enter the item number, then click Done to save the item and go back to the Search page.


  9. To add another item to the write-off task, repeat Steps 6-8.  Otherwise, click Finish. 
  10. Click Yes on the confirmation message. The system will then create the write-off task and set its status to Completed.


NOTE: Non-inventory products are not available for write-off.


To Edit a Write-Off Task

Write-off tasks that are tagged as Drafts, i.e. not Completed, can still be edited. At the same time, these tasks can be set as Completed once they have been edited.

  1. Log on to the DEAR WMS mobile app.
  2. On the Working area, select the location to which the write-off task will be added, then click Next.
  3. On the Main Menu, click Write-off.
  4. On the Write-off page, the write-off tasks for the selected location are displayed in a grid. Click the Draft write-off task to be edited. For example, in the image below, the task enclosed in red can be edited.


  5. On the Details page, make your changes to the task, then click Finish to set its status to Completed.

To View a Write-Off Task's Details

The details of write-off tasks that have been Completed or are still in Draft status can be viewed at any time.

  1. Log on to the DEAR WMS mobile app.
  2. On the Working area, select the location to which the write-off task will be added, then click Next.
  3. On the Main Menu, click Write-off.
  4. On the Write-off page, the write-off tasks for the selected location are displayed in a grid. Click a write-off task to view its details.


Viewing Inventory Write-Offs in DEAR Inventory

Completed write-off tasks in DEAR WMS can be viewed from DEAR Inventory by following the steps below.

  1. Log on to DEAR Inventory.
  2. On the menu, click Inventory, then Inventory Write-off.
  3. On the Inventory Write-Off List, the write-off tasks from DEAR WMS are displayed.


  4. To filter the list for a specific write-off task, enter the write-off task's assembly number on the Search bar on the top right, then click Search.
