The DEAR Production module covers all processes involving assembly, disassembly and job costing. DEAR also offers an advanced manufacturing module that can be added to your base subscription to input more complex production operations and processes. All production documents and email templates can be customised to suit your business requirements.

For more advanced production processes, consider adding the Advanced Manufacturing module to your subscription and checking out our Getting Started with the Advanced Manufacturing module article.

Is there a feature you would like to see or an improvement that would help your business? Please make feature requests on our forum; requests are reviewed based on popularity and importance for inclusion in future development releases.

Table of Contents

Production module permissions

DEAR offers fine-grained control over user permissions. Grant users full or read-only permission to the different features of the production module, and create roles with pre-defined permissions to assign to users.

DEAR allows you to set the following permissions for the production module (Settings → Users and Roles):

Finished Goods List & Tasks

The Finished Goods allows you to keep track of the use of raw materials as well as costs associated with assemblies. (Read-only) View the list of finished goods operations and their details. View Finished Goods tasks assigned to you. (Full Access) Allows creation, authorisation, undo and void of finished goods operations.

Inventory Write-Off Tasks

This feature allows you to write off inventory that has been lost, stolen, damaged, given away or used internally. (Read-only) View the list of write-offs and their details. View Inventory Write-Off tasks assigned to you. (Full Access) Allows creation, authorisation, undo and void of write-off operations.

Disassembly List & Tasks

Disassembly can be used to break down inventory items into components. It can also be used to perform unit conversions, e.g. from tons to kilos. (Read-only) View the list of disassembly operations and their details. View disassembly tasks assigned to you. (Full Access) Allows creation, authorisation, undo and void of disassembly operations.

Jobs List & Tasks

The Jobs module can be used to keep track of expenditure that has gone into performing a job for a customer. (Read-only) View the list of job operations and their details. View job tasks assigned to you. (Full Access) Allows creation, authorisation, undo and void of job operations.

Production – Undo

Allows Undo of Assembly, Disassembly, Production, Job, Inventory Write-off tasks.

Production – Void

Allows Void of Assembly, Disassembly, Production, Job, Inventory Write-off tasks.

See Managing Users and Roles and User permissions explained for more information on permissions.

Bill of Materials

Before starting to manufacture or disassemble products, we need to make sure that we have Bills of Materials (BOM) for these products. The BOM specifies the component products that make up the larger product. Assembly BOM is intended to be used for simple assembly operations such as joining together multiple items in a pack or kit.

See Bill of Materials (Assembly) for more information.

DEAR also supports more complex Production BOMs with the Advanced Manufacturing module. See Getting Started with the Advanced Manufacturing module and for detailed information.

Finished Goods Assembly and Disassembly

The Assembly module forms part of the production functionality in DEAR Inventory. It helps you keep track of the use of components as well as the total cost of assembled goods. The Assembly function can only be used with products that have an Assembly Bill of Materials listing component parts. Disassembly can be used to break down inventory items into components. Assembly/Disassembly can be performed manually or automatically. Multi-level assemblies/disassemblies are supported.

See Finished Goods Assembly and Disassembly for more information.

Inventory Write-Off

Writing off inventory involves removing the cost of no-value inventory items from the accounting records. Inventory should be written off when it becomes obsolete or its market price has fallen to a level below the cost at which it is currently recorded in the accounting records. The amount to be written down should be the difference between the book value (cost) of the inventory and the amount of cash that the business can obtain by disposing of the inventory in the most optimal manner. Write-off can also be used for stock that is used internally or in jobs.

See Inventory Write-Off for more information.

Job Costing

The Job Costing module can be used to keep track of expenditure that has gone into performing a job for a customer. Jobs can be divided into milestones.

Expenditure can be both inventory and service in nature, and include your own services/inventory and those of suppliers. The Job Costing feature can be used to accumulate this expenditure and produce an invoice for the customer adding a margin if required.

See Job Costing for more information.

Reports

Users need the Inventory Reporting permission to access these reports.

Production Cost Analysis Report

This report shows the number of finished goods with their costs split by the components/services used in the assembled product. Use this report to analyse finished goods yield quantity, production cost, and cost of component products and services for a selected reporting period. Both assembly and production finished goods (see advanced manufacturing module) are shown on this report.

By default, the report shows all finished goods that have been completed, authorised or are currently in progress for the last month. To narrow down the results, you can filter the report by either status = Authorised or status = In progress or status = Completed.

Learn more about Production Cost Analysis Report.

Disassembly Analysis Report

This report shows completed disassemblies within the selected time period. Use this report to analyse the disassembled quantity, cost of the disassembled item and any costs from services during the operation. Items can be filtered by component and disassembly category, brand, product tags, etc.

By default, the report shows all disassemblies that have been completed, authorised or are currently in progress for the last month.

Learn more about the Disassembly Analysis Report.

Job Costing Reports

The Job Costing Materials Report shows materials and stock used on a particular job during the selected time period. It also indicates where this material was purchased if it did not come from inventory already in stock. Use this report to see the quantity and cost of job costing materials.

The Job Costing Profit and Loss Report shows the profit/loss for each Job. Use this report to view all income, expenses and profits associated with job costing transactions. Output can be filtered by customer, supplier, time period, milestone, status and more. Financial reporting permission is required to access this report.

Advanced Manufacturing

The Advanced Manufacturing module is aimed at addressing the needs of more complex production processes for manufacturing businesses. The Advanced Manufacturing module allows you to set a factory calendar, define production resources (tools, machines, people) and their operational hours, plan production for capacity and set up logistical pathways for the movement of components and finished products, among many more features.

Access to the advanced module requires adding a subscription to the module to your DEAR Inventory paid plan. See Getting Started with the Advanced Manufacturing module for more information.
