Adding ShipStation Cost to DEAR Sale Order Notes

I have completed research into adding ShipStation Shipping Cost to a DEAR Sale Invoice using Zapier instead of needing the DEAR Feature Request: Automatically add ShipStation shipping cost to Invoice for DEAR Sale.  Unfortunately, it is not currently possible to do this using the current DEAR and Zapier integration (as of 4-Mar-2019).  Add your voice to that feature request and/or this feature request to make it possible: Zapier integration: Enable modifying DEAR invoice to add product line items and additional charges to an existing DEAR Sale Invoice


What *is* possible is to have the cost of the shipping from ShipStation written as text to the Notes field of the DEAR Sale Order.  It is then easier to do the data entry while only looking at DEAR instead of needing to go back and forth between ShipStation and DEAR.  You can reference the text in the Notes field of the DEAR Sale Order to create the shipping cost line item in the DEAR Sale Invoice.  The shipping cost note is appended to the existing note.  Below I have included screenshots from Zapier of this integration so that you can do it yourself.  It would be up to you to create this Zap for yourself in your own Zapier subscription in order to integrate your ShipStation and DEAR.  (You can contact me for paid consulting work if you do not feel comfortable doing it yourself.)


Another alternative would be to write the information to a Google Sheet which could then be used as a reference to enter the shipping cost line item in DEAR.  Neither of these is optimal, but maybe they could provide enough increased efficiency to make them worth it for your business, or maybe you can use this idea for other needs you have for your business.

  • To ensure people understand how this works, the ShipStation shipping cost is added to the Notes field for the Sale Order.  The Sale Order Notes field is the notes field for the entire order as opposed to the Order Memo or Invoice Memo fields.  (The Memo field are not currently writeable using the Zapier integration.) 


    Also note that Zapier treats the value as a decimal number, so $8.40 is entered as $8.4 and a round dollar value of $8.00 would be entered as $8 in the Notes field. See screenshot below for an example.
