DEAR accounts that your organization does business with either as a customer or supplier are viewable from the Network Connections table under the DEAR Settings menu. You have the option to create a DEAR to DEAR Network with these partners via network keys that DEAR assigns to all account holders upon enrollment. 


Before you can create a DEAR to DEAR Network, you will need to send an invitation email to the supplier or customer. This email will include your network key.


To create a DEAR to DEAR network, the invited supplier and customer needs to enter your network key on their own Network Connections table.  


Once the DEAR to DEAR Network is set up, you can perform the following from within DEAR:


When you no longer need to be connected to another DEAR network for some reason, you may choose to remove the connection with the other network. For more information, see Removing a DEAR to DEAR Connection.


Integration can be performed seamlessly from within DEAR accounts without any need for additional development work. You may also define as many DEAR to DEAR networks as you like. 


NOTE: Only administrators can access the DEAR to DEAR Network page under the DEAR Settings menu. Users can still send purchase orders/invoices to connected contacts even without access to this page.


Sending a DEAR to DEAR Invitation Email

Once you have determined that a supplier or customer has an active DEAR account via the Network Connections table, you can send them an invitation email from within DEAR.

  1. On the DEAR Settings menu, click Reference Books>DEAR to DEAR Networking.


  2. On the DEAR to DEAR Network invitation page, click the Send Invite button.


  3. On the Send Email window, select the email recipients from the list, then click OK. Separate multiple recipients with a comma or semicolon.


  4. Edit the email template, including the Subject and Body, if desired. Be careful not to delete your organization's network key and legal/trading name from the body of the email template.
  5. Once you are satisfied with the email invitation, click Send.


Once the invitation email is sent, if the partner has a record in the Network Connections table, the Is invite send box in the partner's record is checked, and the Status is changed to Waiting to connect. When the supplier or customer accepts the invitation, the Status is updated to Connected.


NOTE: If a supplier or customer with an active DEAR account does not appear on your Network Connections table, you can manually enter the registered email address for their DEAR account as the recipient in your invitation email. This manually adds them to the Network Connections table.


Creating a DEAR to DEAR Network

Once you receive an email invitation from a customer or supplier with a DEAR account, you can already create a DEAR to DEAR Network to link your organizations together.

  1. On the DEAR Settings menu, click DEAR to DEAR Network.
  2. Enter the network key for the inviting organization on the Network Connections table.


  3. Click Save to save the inviting organization's network key on the Network Connections table. This also updates Status to Connected.


The inviting organization is informed of your acceptance of the invitation, and its Network Connections table reflects a Connected status for your record.


In addition, a new DEARtoDEAR permission is created for both accounts in DEAR. If this permission is turned On, the DEAR to DEAR Network page is shown for the user. If this permission is turned Off, the DEAR to DEAR Network page is not shown for the user, but invoices are created between the two organizations.


Contacts that are connected via the DEAR network are marked with a Connected icon in DEAR.


Invoices that are created after sale or purchase in the DEAR network are marked as Connected in DEAR.



Removing a DEAR to DEAR Connection

To remove the connection between your DEAR network and another DEAR network:


  1. On the DEAR Settings menu, click DEAR to DEAR Network.
  2. Look for the DEAR network to be disconnected from your DEAR account, and click the Remove Connection icon.
  3. Click Yes, remove network to confirm the operation. The connection between the two networks is then removed.


Sending a Purchase Order to a Supplier via DEAR to DEAR Network

To send a purchase order to a supplier:

  1. Attach the PO to the email.
  2. Check the Sent via DEAR Network box.


  3. Click Send.

Once a PO is received from a customer, a pre-sale order with status=Waiting for approval is created for the customer on the supplier's DEAR account. When the customer sends the PO, an email notification is also sent to the supplier. The supplier then sends an invoice for the PO via email to the customer. 


Sending an Invoice/Sales Order to a Customer via DEAR to DEAR Network

To send an invoice/sales order to a customer:

  1. Enter the details for the invoice/sales order on the email sending form.
  2. Check the Sent via DEAR Network box.
  3. Click Send.

Once a supplier sends an invoice/sales order to a customer, a pre-sale record with status = Waiting for approval is created for the supplier on the customer's DEAR account. Once the customer approves the sales invoice, the pre-sale record is added to the customer's Purchases page.


When the supplier sends the invoice/sales order, an email notification is also sent to the customer. 


Approving a Purchase Order/Invoice/Sales Order via DEAR to DEAR Network


All purchase orders and invoices initially sent via a DEAR to DEAR network are tagged with status=Waiting for approval. Once approved, these POs/invoices/sales orders are then added to your Sales (for suppliers) or Purchases (for customers) pages.


To approve a PO, click the PO record, then on the Awaiting Approval Purchase page, click Approve on the top right.



To approve an invoice, click the Invoice record, then on the Awaiting Approval Invoice page, click Approve on the top right.



To approve a sales order, click the sales record, then on the Awaiting Approval Sales page, click Approve on the top right.
